Emerging Scholar Academic Intervention Communication Program

The Emerging Scholars Program provides extra support, communication and accountability to students who may need it. We know our students rely on close friends and family for support. We want to make sure that support continues through their first year at Brockport. By utilizing the Family Educational Rights and Privacy Act (FERPA), we seek to enhance the academic experience by ensuring that a chosen family member is involved in their student’s progress and can provide additional academic support and encouragement. Note the goes above and beyond regular FERPA communication and will involve the Academic Success Center staff reaching out to the selected advocate. Communication will be academic only, excluding billing or behavior-related topics.

If students and parents opt-in to the Academic Intervention Communication Program, The Emerging Scholars staff will reach out to chosen family members in the following instances. Students will have already received information regarding their progress before these steps are taken:

  • Week Three Check-in: All students will meet with their advisor during week 3 to review their Academic Success Plan. If Scholars are not meeting their plans, we will reach out.
  • 3 or more Concerns Raised in EagleSUCCESS: If an instructor has concerns about attendance or academic progress, they can share through EagleSUCCESS. Concerns trigger an email or text to the student. If a student receives three or six concerns, our staff will reach out to the chosen family member.
  • Midterm Flags: Instructors are required to submit midterm flags based on the student’s grade in the course halfway through the semester. If a flag is raised because of poor performance in a course or a low GPA, we will share relevant information with the chosen family member.

To opt-in to the Parent Communication Program, follow the steps below:

  1. Complete the FERPA form: In compliance with the Federal Family Education Rights and Privacy Act of 1974 (FERPA), SUNY Brockport is prohibited from providing certain information from a student’s records to a third party, such as information pertaining to grades, billing and payment, tuition and fee assessment, and financial aid. To give permission to a third party, including their parent(s) and/or step-parent(s), their spouse, or a sponsor, students must fill out a form online to give permission. They may do so by following these instructions:
    1. Have your student log into the Brockportal.
    2. Go to Student Services.
    3. Go to Students Records.
    4. Complete the Consent to Release Student Information at the bottom of the list.
  2. Complete Onboarding Form: Follow the link to opt-in to participate in the Emerging Scholar parent communication plan and choose a family member for Brockport staff to communicate with.
