Meeting Summary

October 23, 2020

Present: Lorraine Acker, Eileen Daniel, Alison Dedicke, Peter Dowe, Crystal Hallenbeck, Michael Harrison, Rachael Killion, Karen Riotto, Lisa Robusto-Mack, Craig Ross, Rongkun Shen, Jamie Spiller and Melissa Wight

Announcements 

  • Ms. Riotto introduced Ms. Robusto-Mack as the Brockport Downtown Representative for the committee.  Ms. Robusto-Mack introduced herself and shared her history with the College.
  • Ms. Riotto announced that there will be a similar process with assessing the spring 2021 fees as there was with the fall 2020 fees.

Course Related Fee Review

  • Ms. Riotto stated that a meeting occurred on October 9, 2020 with the Provost, Ms. Riotto, Ms. Hallenbeck and Dr. Ross.  The Provost was supportive of the idea of a course related fee review.  She just wanted to ensure that the committee follows the policy.
  • Ms. Riotto stated that a follow-up meeting occurred on October 16, 2020 with Ms. Riotto, Ms. Hallenbeck, Ms. Killion and Dr. Ross.  At this meeting they discussed the next steps for the course related fee review.  The next steps are:
    • Reaching out to the Schools to determine what course fees should not be assessed in winter 2021 and spring 2021 as instruction will be similar to what instruction has been for this semester.  Ms. Killion has already sent reports to all of the Deans for the winter and spring session requesting this information.  This was done so that we have enough time to produce accurate billing for those terms.
    • Creating an introduction for the Deans explaining the policy, providing a listing of the courses and the fees associated with the courses and developing a MachForm that cross references the information provided and has questions about the fees.  The questions would include:
      • Explanation of a rollover balance and what it will be spent on
      • How the fee aligns with the policy
      • The original purpose of why the fee is assessed
      • What the revenues are typically used fore
    • If the Deans would like to have the history of the purpose of the course fees, we can provide copies of the documents that we have.  In addition, going forward the purpose will feed into a spreadsheet with the information obtained from the MachForm. 

Technology Fee and Campus Needs 

Members reviewed the Spring 2020 Online Student Satisfaction Survey.  It was stated that the survey was only sent to the students that were originally enrolled in an online or hybrid course at the beginning of the spring semester. Also, the survey is reviewed by the Hybrid Online Support Team (HOST) and Jeff Thompson serves on this team.  He communicates the survey results to his team.  In addition, members were encouraged to review the survey (located in Teams) so that it can be discussed further at our next meeting.

Planning Items

2021 Fee-Based Budget Presentation Call Letter

It was discussed that Ms. Hallenbeck and Dr. Spiller will be developing the draft of the Call Letter.  Members will review the draft at our next meeting.

Spring 2021 Graduate Student Representative

Ms. Riotto stated that Ms. Dedicke will be unable to serve as the Graduate Representative in the spring.  Mr. Harrison will work on seeking a student to serve as the Graduate Representative. 

June 30th Fee Based Budget Balances

Ms. Riotto stated that she anticipates that members will be able to review the balances at our next meeting.  It is a review that will be incorporated into the committee’s annual work.
