Policy Statement
It is the policy of the State University of New York (SUNY) to ensure that recognized student organizations, university programs, departments, and units that want to share information about upcoming events and activities are able to do so through various means of communication, including flyers and posters.
Purpose/Scope
SUNY reserves the right to manage posting and advertising on its campuses in order to maintain an orderly and attractive venue, to make event information accessible to the campus community, and to ensure that events and programs that are advertised comply with institutional policies and procedures.
Applicability
This policy sets forth the requirements for all student organizations, university programs, departments, and units recognized by SUNY Brockport. This policy does not apply to bulletin boards that are reserved for specific departments, offices, or organizations whereby posting generally requires permission of that group. Posting by outside individuals and groups is not permitted.
For policy on entities and individuals who wish to use SUNY Brockport facilities for other than approved college-sponsored academic, administrative, and extra-curricular activities, please refer to the Freedom of Expression and Assembly Student Policy and Procedures.

Policy Procedures
Announcements, letters, bulletins, posters, flyers, postcards, sandwich boards, etc., promoting or describing an event, meeting, program, general announcement, etc., must clearly indicate the sponsoring Brockport Student Government recognized student organization, university program, department, and/or unit, as well as the phone number or email address of a contact person.
Posted items are to be posted only on general-use bulletin boards identified for this purpose. The use of table tents in campus dining facilities shall be approved by the Executive Director of Brockport Auxiliary Services Corporation (BASC), or designee. Posted items must be removed by the sponsoring organization within 48 hours after an event takes place or it will be removed by the building manager.
Prohibited posting activities include, without limitation: posting of promotional flyers or leaflets on doors, trees, light poles, vehicles, bus stops, indoor and outdoor walls, and in elevators; promotion of events that advertise alcohol or drugs, or any event that violates the law and/or SUNY Brockport policies and/or code of conduct; and any promotional material not endorsed by a student organization, university program, department, and/or unit. Only Brockport Student Government recognized student organizations, university programs, departments, and/or units are permitted to chalk on University sidewalks. Chalking of buildings or roadways and chalking under covered areas is prohibited. Light projections may not be displayed on any University building or structure without seeking express written permission from the Vice President for Student Affairs and/or the Vice President for Administration and Finance. Posting of externally-facing material in SUNY Brockport exterior windows is prohibited. This includes, but is not limited to, signs, posters, flags, banners, paint, lights, or anything that partially obstructs windows.
Postings may not be placed over current/valid postings of other organizations, and students are prohibited from removing or tearing down current/valid postings of other organizations. Multiple postings of the same item in the same location is prohibited.
Items posted that do not follow the policy guidelines will be removed. Repeated violations will result in a loss of posting privileges and possible disciplinary action.
Digital Signage boards are located in numerous locations to inform students, faculty, staff, and visitors about news, events, and activities at SUNY Brockport and are available for internal use only, according to the following guidelines:
- Only registered student organizations, campus governance units, academic units, campus departments/offices, and university committees are permitted to display content (digital slides and digital video) on the digital signage boards. Not all digital signage boards accept content submission requests.
- The creation of content for display on the digital signage boards is the responsibility of the group presenting the information to the campus community. University Communications may be available to assist with the design of such content.
- Content must be submitted electronically to dailyeagle@brockport.edu one to two business days prior to the first date the content is to be displayed on the Digital Signage system. Content submissions must include the date the content should start running on the digital signage boards and the date it should come down, and the digital slide as an attachment to the e-mail.
- University Communications reserves the right to address concerns or make suggestions related to Digital Signage content in an effort to reinforce the educational mission of the University and accessibility guidelines.
- Content that promotes or advertises the occurrence of a series of regularly scheduled meetings, activities, or events will not normally be approved for display.
- Content that promotes or condones behavior that violates university policies, or local, state, or federal law will not be approved for display.
- Advertisement of commercial products or services is prohibited.
- To optimize the management of digital signage board content, University Communications reserves the right to determine the duration, dates, times, and locations that content is displayed.
- Content that violates this policy will not be approved for display.
