Policy Statement

It is possible for a SUNY Brockport student to receive financial aid if they are taking courses at another college or university.

Purpose/Scope

This policy informs students that they may be eligible to receive financial aid for approved courses being taken at another college or university. The course(s) must transfer back to SUNY Brockport and be applied toward the student’s degree.

Applicability

This policy applies to all students.

Definitions

Host Institution — The host institution is the college or university that the student is visiting.

Home Institution — The home institution is the college or university in which the student is matriculated.

Visiting Student — A visiting student is a student who has matriculated at their home institution but is enrolled in courses at another institution and plans to have the credits transferred back to their home institution and applied toward their degree.

Policy Procedures

If a student would like to take courses at another SUNY school and receive financial aid from SUNY Brockport, but has not yet transferred 75 credits from a two-year school or 90 credits from a two-year/four-year school combination, they may apply for cross-registration.

The SUNY Cross-Registration Policy was developed to promote timely degree completion by providing access to courses at other SUNY campuses. A key feature of the policy is the SUNY Financial Aid Consortium Agreement; this agreement establishes a university-wide financial aid arrangement that enables any SUNY student who is eligible for aid, matriculated in an eligible program, and enrolled at a SUNY campus, to register for academic credit at another SUNY campus. Program-applicable credits may be combined into a full-time load for financial aid purposes using the SUNY Financial Aid Consortium Agreement.

SUNY Brockport students initiate the cross-registration process by completing the SUNY Cross-Registration Form (sign-on with student login, select home campus, and enter all required information). Once submitted, the request will require electronic approvals from various offices.

Students wishing to complete courses at a non-SUNY institution (or where cross-registration is not applicable), have the credits transfer back to SUNY Brockport, and utilize financial aid to cover the courses, must complete a Financial Aid Office Consortium Agreement Form (either the M13 – Visiting Student Consortium Agreement Information Sheet 2024-25 or the M13G – Visiting Graduate Student Consortium Agreement Information Sheet 2024-25). The Consortium Agreement form must be completed by the host institution, with appropriate SUNY Brockport approvals, and be returned to SUNY Brockport for processing.

The consortium agreement must be submitted to the Financial Aid Office by the Federal Credit Census date.

It is recommended that students contact the Financial Aid Office to understand how taking a course elsewhere may affect their financial aid.

Students interested in taking courses at SUNY Brockport should contact their home institution to determine their financing options.
